HR Staff

 

 

AISHA Association for Women and Child Protection (AISHA), established in 2009, is an independent Palestinian women organization working to achieve gender integration through economic empowerment and psychosocial support to marginalized groups in the Gaza Strip. AISHA seeks to protect women and children from violence through supporting, empowering, and raising awareness of important psychological, social, legal, and economic issues.

Overall Objective

The role involves supporting recruitment, contract management, payroll using the AISHA HR software, and involvement in handling employee relations, including conflicts and disciplinary issues, to ensure effective HR operations at the base level, aligned with AISHA policies and standards.

Tasks and Responsibilities

  • Management of Recruitment and Integration of New Employees.
  • Management of Employment Contracts/Files.
  • Employee Relations and Disciplinary Management.
  • Ensure the proper management of AISHA HR Software and related tasks.
  • Participation in HR Department Activities.
  • Other HR Tasks.

Key Responsibilities

1. Recruitment and Onboarding

  • Plan, coordinate, and support all recruitment processes in line with the Recruitment Policy.
  • Coordinate with line managers to assess staffing needs and ensure transparent and compliant hiring procedures.
  • Organize shortlisting, tests, interviews, reference checks, and preparation of job offers.
  • Manage onboarding of new employees, including personnel file creation, document verification, insurance enrollment, and provision of necessary tools.
  • Ensure all mandatory documents are signed, properly archived (digital and physical), and shared with Coordination.

2. Contract and Personnel File Management

  • Support the preparation, renewal, amendment, and follow-up of staff contracts (employees, daily workers, interns).
  • Monitor resignations, terminations, and work accident cases.
  • Maintain and regularly update staff personnel files and appraisal documentation, ensuring timely completion and proper archiving.
  • Coordinate the collection and submission of original HR documents to Coordination.

3. Training Plan Management

  • Collect training needs from managers and contribute to the annual training plan.
  • Update the plan throughout the year, including budget-related costs, and provide the finalized annual training report.

4. Employee Relations and Disciplinary Support

  • Serve as a focal point for staff HR-related concerns, grievances, and workplace issues.
  • Support conflict resolution processes and assist in disciplinary actions with proper documentation.
  • Ensure disciplinary measures comply with organizational policies and labor law.

5. HR System and Payroll Administration

  • Maintain accurate employee records and contract monitoring through the AISHA HR system.
  • Prepare monthly payroll documentation, validate leave/absence records, and support salary advance processing.
  • Produce payroll, print payslips, support tax calculations when required, and ensure full archiving of payroll records.
  • Collect, review, and archive timesheets and attendance records, ensuring compliance and submission of originals to Coordination.

6. Participation in HR Department Activities

  • Participate in HR meetings and support implementation of HR strategies aligned with organizational objectives.
  • Contribute to maintaining and updating the base-level organizational structure.

7. Additional HR Duties

  • Support preparation of HR documentation for audits, reporting, and authorities as required.
  • Promote awareness of HR policies and procedures among staff.
  • Perform any other tasks assigned by the line manager.

Required Skills and Experience

Education:

  • Bachelor degree in Business Administration, Human Resources management or any related fields.

Experience:

  • At least 1 year of relevant work experience in NGOs.  
  • Humanitarian experience
  • Working experience in fundraising and proposal writing.

Language:

  • Excellent spoken and written English and Arabic and communication skills
